Multiple Layered Operations

For implementations of a large number of stores, SAP® Business One can be implemented at multiple levels. So along with the HO SAP Business One instance, there can be several consolidation levels of SAP Business One e.g. an SAP Business One instance for regions that further manage stores (there can be more levels e.g. circle under the region). In this case the SAP Business One integration is adapted so that every Consolidation-SAP Business One instance integrates with the SAP Business One HO instance.

The actual implementation involves setting up a Landscape in the HO configuration for every SAP Business One and iVend instance. Prior to this, iVend and SAP Business One was integrated only at the HO.

A global master created on the SAP Business One-Region instance gets integrated to SAP Business One-HO which further integrates to the iVend-HO. The master is replicated to every required Store-iVend by the HO-iVend and is independently integrated with every Store-SAP Business One or Region-SAP Business One instance by the SAP Business One-HO instance.

Financial Transactions and Consolidation

For all the retail transactions done at the POS terminal at the stores will transform into an AR (Accounts Receivable) invoice in the corresponding SAP Business One configured for the store. In addition to the sales done at the POS terminal, there will be other transactions like sales returns, refunds, simple expenses, etc. All these transactions will also be created as appropriate transactions in the corresponding SAP Business One.

In addition to the transactions done at the POS terminal, the store manager at the store will also be conducting transactions directly in SAP Business One configured for the store. These transactions will be goods receipt, stock adjustments (provided rights are available), posting of expense entries for expenses not done through the retail application (like expense for diesel consumption, electricity expenses, etc.)

All the financial transactions at the store will be rolled up to the next level – region as GL (General Ledger) rollups. GL rollups will take all the journal entries of the above mentioned transactions at store with proper identification – invoices different from receipts to the general ledger of SAP Business One at the next higher level – region.

The consolidation module will enable a proper financial consolidation of the levels below into a consolidation company defined at the higher level. For example, all the GL entries of all the stores will be rolled up and consolidated into a consolidation company defined at the regional level.

At the next level, all the GL allocations at the regional level will be rolled up and consolidated at the Head Office.

The simplest deployment scenario will remain the ‘single-store’ scenario where there is only ONE store. This is important from the perspective that a SINGLE iVend database will cater for both store and HO functions and hence there will be NO replication. SAP® Business One integration will be with this iVend database.

By implementing SAP Business One, iVend and InterCompany, the Head Office can:

» More easily integrate stores with its other channels such as the Web, catalog and call center.
» Provide a platform that will support advanced warehouse inventory management through RFID, internet shipping and advanced fulfillment techniques.
» Address key consumer frustrations such as out-of-stock products and delays in fulfillment.
» Plan and Manage Promotions and Loyalties across the retail chain.
» Analyze Profitability and Operational Performance at the Store.

By implementing SAP Business One, iVend and InterCompany, the Region can:

» Offer alternatives to their most valuable asset - the consumer.
» Run their entire company as one unit, rather than individually through high-end integration between the stores and corporate.
» Analyze Profitability and Operational Performance at the Store.
» Leverage the feature rich POS solution giving end users easy access to purchasing, rentals and other advanced transactions.

By implementing SAP Business One, iVend and POS, the Store can:

» Enhance the “Customer Experience” by enabling the clerks at the register to make manager level decisions.
